Introduction:

The college has established a Faculty/Staff Grievance Redressal Committee to address and resolve complaints raised by employees. This committee ensures that grievances are handled fairly and appropriately based on the nature of the issue.

Overview

Employees can submit their grievances following the prescribed procedure outlined below.

Definition of Grievance

A grievance refers to:

  • A reported violation, misinterpretation, or misapplication of IMSAR’s rules and regulations that affect employment terms and conditions.
  • A complaint lodged by an employee against a colleague, supervisor, or employer.
  • Concerns related to policy violations, infrastructure deficiencies, or facility improvement requirements.

 

Functions of the Committee

The committee is responsible for:

  • Receiving and reviewing written complaints or emails from both teaching and non-teaching staff regarding grievances and suggesting appropriate solutions.
  • Addressing grievances in the following areas:
  • Work Environment
  • Faculty Coordination
  • Work Overload
  • Hygiene & Sanitation
  • Transportation Facilities
  • Forwarding recommendations to the Director for further review and necessary action.

This structured framework ensures a supportive and efficient resolution process for faculty and staff grievances.

Committee Composition:

The Grievance Redressal Committee consists of the following members:

  • General Secretary
  • Director (serves as the Convener)
  • One Faculty Representative
  • One Staff Representative
  • The term of the committee members is one year.

Responsibilities of Committee Members:

  • Organizing periodic meetings of the committee.
  • Maintaining minutes of all meetings.
  • Making resolutions during committee gatherings.
  • Providing a platform for faculty and staff to lodge complaints.
  • Submitting grievance redressal reports to the Director.
  • Ensuring that grievances are resolved within a reasonable timeframe.

 

Procedure for Lodging a Complaint:

Step 1: Submitting a Grievance

  • A faculty/staff member must present their grievance, either orally or in writing, to the Director within 15 days of the issue arising.
  • The Director will forward a copy of the grievance to the Grievance Redressal Committee.
  • The Director may consult the committee to resolve the grievance.

 

Step 2: Committee Review and Resolution

  • The Grievance Redressal Committee will review and respond to the grievance within 5 working days.
  • The Director, along with the committee members, will attempt to resolve the grievance through conference, negotiation, and agreement.
  • A written decision will be provided to the complainant.

 

Step 3: Escalation to General Secretary

  • If the faculty/staff is dissatisfied with the Director’s decision or does not receive a response within 5 working days, they can escalate the grievance to the General Secretary within 10 working days.
  • The General Secretary (or their designee), Director, and the complainant will attempt to resolve the issue through conference, negotiation, and agreement.
  • The General Secretary will issue a final decision within 5 working days after the conference.

 

Procedure for Redressal of Grievances

  • The committee will ensure fairness and impartiality by following the principles of natural justice and hearing all concerned parties.
  • Any resolution must comply with the relevant laws, acts, and regulations and should not contradict any legal provisions.
  • This structured process ensures a transparent, fair, and effective resolution of faculty and staff grievances.
